What this page is for

Every agent who sold (or rented out) property in the last 12 months gets one row here. Before an agent can appear to customers we confirm three things: the name, the agency and the photo. Each one shows a green tick on the row once it is verified. Automatic verification does most of this in the background by matching each agent against other public sources (Domain and RateMyAgent). This page is for the ones it could not settle on its own.

How a row is built

One row is one real person, even when that person has several scraped profiles (one per source or per agency they have worked at). The list is rebuilt every night from the scraper, so counts and photos can move overnight without anyone touching them.

Three ways in

• The tabs (Unreviewed, Reviewed, Skipped) split the list by what has happened to each agent.
• The metrics strip shows the numbers for the current filters. Every number is a click that lists exactly those agents.
• The filters (queue, search, channel, state, excluded statuses) apply to the tabs and the metrics alike.

A correct outcome: the public name, agency and photo for every agent with sales are verified, and nothing that is not a real person is shown to customers.

Unreviewed tab

What it holds

Agents awaiting manual verification. Automatic verification keeps working through these in the background, so an agent can leave this tab on its own once a public source confirms the identity. Records with no contact details and no REA profile are handled by the identity cleanup and are not listed here.

What to do

1. Open Evidence to see what the sources say about the name, the agency and the photo.
2. Fix the Name for Public and Agency name for Public boxes if the public should see something different from the scraped text.
3. Tick OK for all-source on the name and on the agency when you have confirmed them yourself.
4. Press Review. The agent moves to the Reviewed tab and is approved for public display.
5. If the record is not a person, or nothing can be found from any source, use Skip with the matching reason instead.

Reviewed tab

What it holds

Agents a staff member has manually reviewed and verified. They are approved for public display under their verified identity. The Reviewed column shows the date and who did it.

What to do

• Nothing, unless something was wrong. Unreview resets the review and returns the agent to the Unreviewed tab.
• The public names can still be edited here; the change applies straight away.

Skipped tab

What it holds

Agents staff have set aside, with a reason. They are hidden from the manual queue but still processed by automatic verification, so a skipped agent that a public source later confirms leaves this tab on its own.

Not an agent

The record is not a person at all: a company, a team or a placeholder name. It should never be shown to customers as an agent.

Cannot verify

It may be a person, but nothing can be found from any source. Records skipped before reasons existed count as "Cannot verify".

What to do

• Use the Skip reason filter to look at one reason at a time.
• Unskip returns an agent to the Unreviewed tab if it was skipped by mistake or new evidence turned up.

Metrics strip

The strip under the page header shows the numbers for the current filters (Review Queue, Search Agent, Channel, State, Exclude Status). It ignores the tabs, so the buckets always add up. Every tile and every small number under a tile is a click that lists exactly those agents; a chip beside the tabs and the header count then show what you are looking at, and the × (or any tab) takes you back. Percentages are of the Agents total.

Agents

Distinct agents matching the filters, one per person, across every tab. Always equals Verified + Not verified.

Verified

Agents whose public identity is confirmed, two ways: by staff (the Reviewed tab) and auto (automatic verification matched them against a public source, so no manual review was needed). Auto-verified agents sit in no tab; the strip is the only place they are counted.

Not verified

Awaiting (the Unreviewed tab) plus skipped. This is why Not verified is larger than the "awaiting review" badge in the header.

Skipped

The Skipped tab, split by reason: not an agent and cannot verify.

Agent names verified

Agents whose name is OK for all-source (the All-source badge on the row). No name work is needed for these. Need verification is the rest.

Agencies verified

Distinct agencies among these agents whose all-source agency name is verified, out of all distinct agencies. The rest show "not all-source" under the agency. Clicking lists the agents at those agencies, so the list is bigger than the tile.

Photos approved

Agents with an approved profile photo, the one customers see. No photo work is needed for these.

Pending (photos)

A photo is on record but nobody has approved it yet. Open Photo to pick or upload one.

No photo

Nothing on record anywhere: no listing photo and nothing in the scraper image library. Someone has to find a photo and upload it with the Photo button.

Filters

Review Queue

Verification is this page: identity review, one row per agent. Agency name changes lists agencies whose scraped name no longer matches the saved public name, one row per agency; choose Keep current or Use source. Image review lists agents by photo approval: Unreviewed = no approved photo yet, Reviewed = approved.

Search Agent

Matches the scraped name, the public name and the agency name.

Channel

Sell = agents with sales in the last 12 months. Rent = agents with rentals in the last 12 months. Each channel has its own row for the same person.

State

The state where most of the agent's activity is.

Exclude Status

Hides agents whose CRM contact carries one of the ticked statuses. Six are hidden by default: Do Not Refer, Blacklisted, Inactive, Selective, Refer to other, Unresponsive. "Show all" clears the list; "Reset defaults" puts the six back. The metrics follow this filter too.

Skip reason

Only on the Skipped tab: Not an agent, Cannot verify, or all.

Columns and row labels

Sales

Sales in the last 12 months across every area (rentals on the Rent channel). The list is sorted by this, biggest first.

Photo

The photo customers would see. A green tick on it means the photo is approved for public display. The grey placeholder means there is none on record.

Agent name

Customers only ever see the all-source (verified) name, never the raw scraped name. Review saves the Name for Public box as the all-source name; left blank, the saved public name is kept, or the scraped name is promoted if none is saved yet. An agent without a verified all-source name is hidden from customer results entirely; staff tools still show them under the scraped name.

OK for all-source

Tick it when you have confirmed the name (or the agency) yourself. It counts as a manual source, so the agent can become publicly eligible without a second website agreeing.

All-source (badge) and the green tick after the name

Both mean the same thing: the name is verified for public use. The tick sits next to the name so you can see it at a glance; the badge sits under the box.

Agency

Public pages show the all-source agency name once one is saved; until then the scraped agency name is displayed. Set or fix it in Agency name for Public; left blank, Review keeps the saved public name, or promotes the scraped name. An agency already all-source shows "OK for all-source" pre-ticked, and its name can still be edited to update what the public sees.

not all-source (under the agency)

The agency's public name is not verified yet. Confirm it with the agency's own OK for all-source box. Once verified, a green tick shows after the agency name instead.

Agency ID

The scraper's id for the agency, handy when two agencies share a name.

Reviewed

When the agent was reviewed and by whom, or when it was skipped, the reason, and by whom. "just now" marks a change another reviewer made while you were on the page.

Another staff member has this row open. Leave it to them; the hold clears a couple of minutes after they stop.

Buttons

Evidence

Opens the drawer with everything already collected from Domain, RateMyAgent and REA about this person: name candidates, agency, photos. It does not run a new lookup.

Photo

Pick one of the photos on record or upload a new one. The chosen photo becomes the approved public photo.

Review

Marks the identity as verified: saves the public names, applies the OK for all-source ticks, and moves the agent to the Reviewed tab.

Unreview

Undoes a review and returns the agent to the Unreviewed tab.

Skip

Sets the agent aside with a reason: Not an agent (company, team or placeholder name) or Cannot verify (nothing found from any source). Moves it to the Skipped tab.

Unskip

Returns a skipped agent to the Unreviewed tab.

Flag identity issue (the flag icon)

Opens a case on the Identity issues page when the record looks like the wrong person, or two people mixed into one. Use it instead of guessing.

Next unclaimed

Jumps to the first agent on this page nobody else is reviewing and opens its Evidence.

Where the green ticks come from (data)

The page reads the CRM table agent_review_queue, one row per person per channel. The nightly rebuild (03:30) copies it from the scraper database, which is the source of truth. Review and Photo update the queue row straight away; everything else waits for the rebuild.

Photo tick

Row field: agent_review_queue.image_is_check = 1.
Source of truth: agents.image_is_check = 1 on the person's representative agent row in the scraper.
Set by: the Photo upload. The file is stored as an images row of type DOMAIN_AGENT_IMAGE for that agent, then image_is_check is set to 1. It means an approved photo exists; the file shown on the row comes from the same lookup.

Name tick

Row fields: agent_review_queue.is_in_all_source = 1 and all_sources_agent_name not blank.
Source of truth: agents.is_in_all_source = 1 and agents.all_sources_agent_name filled, on any of the person's agent rows.
Set by: the Review button (writes is_in_all_source = 1, name_check_status = 'matched' and the public name to every agent row of the person), or automatic verification after a Domain or RateMyAgent match. This is the same flag as the All-source badge.

Agency tick

Row field: agent_review_queue.agency_is_in_all_source = 1 (the row must have an agency_id).
Source of truth, all three together on the scraper agencies row: name_check_status = 'matched', all_sources_agency_name filled, and the all_sources_used JSON with domain, rma or manual set to true.
Set by: automatic verification, or the agency's OK for all-source box on Review, which writes the public name, sets name_check_status = 'matched' and adds the manual stamp.

Not the same as publicly eligible

The name tick is the staff-facing flag. Being live to customers (auto-verified in the metrics) additionally needs name_check_status = 'matched' and evidence in agents.all_sources_used (domain, rma or manual), plus an eligible agency.

Other queues

The Image review and Agency name change queues read the same flags from the statistics cache agent_suburb_statistics (image_is_check, agent_is_in_all_source, agency_is_in_all_source), also refreshed nightly.

Words used on this page

All-source

The verified public identity. A name or agency is all-source when at least two public sources agree, or a staff member confirmed it with OK for all-source.

Publicly eligible / auto-verified

Automatic verification confirmed the identity without a manual review. These agents are live to customers and appear in no tab here.

Person, profile, contact

A person is the real human (one row here). A profile is one scraped record of that person from one source or agency; a person can have several. A contact is the CRM record we call and refer leads to.

Scraper

Our own collector of listings, agents and agencies from the property websites. The nightly rebuild of this page reads from it.

Domain, RateMyAgent, REA

The public sources used as evidence. REA is where most listings come from; Domain and RateMyAgent are the second opinions that make a name all-source.

Channel

Sell (sales) or Rent (rentals). The same person can be in both.
